Virtual Vendor Booth or Virtual Ad for workshops, mosaic tours, or events: 5-minute video placement: In our virtual conference portal, there will be special placement for all Vendors and Sponsors. The Virtual Vendor Booths will be comprised of links, logos, coupon codes, and special promo text that will be accessible only to our virtual participants. Virtual Booths will include placement of a 5-minute video that you create featuring your shop, materials, specials, tool demo, a bit about you… whatever you want to help engage our participants with your business since they can’t come to meet you in person! SAMA Virtual Summit Donors
Your donations to SAMA are vital for us to carry out our mission to promote and support excellence in mosaics. For all donations that do not apply to the above donation levels, we will list you as SAMA Virtual Summit Donors. This list of generous members and supporters will be visible on our virtual conference platform, on our website, and in our Groutline E-Journal (one issue). Every dollar helps and we need your support!
Gift Bag Item and Coupon Book Guidelines
All Sponsors are eligible for adding items to the Sponsored Gift Bag to be mailed to all attendees the week of the Virtual Summit.
Product samples, catalogs, and brochures can be included in the “swag bag.” This is an ideal option to get samples of your product(s) in the hands of users so they can try them out. PLEASE NO FOOD OR SNACK ITEMS THIS YEAR!
DIGITAL Coupons or New product announcements can be forwarded in digital form to be entered in a COUPON BOOK PDF that will be accessible for all attendees as well. Coupons and special deals to entice them to shop or printed materials to represent your company whether or not you are able to attend the conference are a great way to put your name in front of attendees at a low cost.
Gift Bag Instructions
Product samples, coupons, new product announcements, catalogs, and brochures can be included in the Gift Bag. This is an ideal option to get samples of your product(s) in the hands of users so they can try them out, coupons to entice them to shop or printed materials to represent your company.

Include an inventory sheet with what you have sent, how many pieces, how many boxes to expect
Gift bag donors may include as many items as they wish to offer. Please bundle them into one item per attendee (use a bag, ziplock, envelope, wrapping paper, etc. or have smaller sample bags stapled to printed insert)
We will be mailing gift bags before the conference begins but we cannot guarantee they will arrive before the conference. If any time-sensitive sale announcements or coupons should be used in the Virtual Coupon Book that will be available to all attendees throughout the conference.
Virtual Coupon Book Instructions
Please email your digital coupon flyer, promotional offer, special message to attendees in .pdf or .jpg format (a digital image of your printed promo/coupon or other digital artwork you may use for social media postings) no larger than 8.5”x11” or 2550×3300 pixels to Dawnmarie Zimmerman by January 22nd!
A pdf compilation of all coupons/promotions will be created and made accessible through the attendee virtual conference portal and your individual coupon or promotion will be incorporated in your listing in the conference portal to be accessible to attendees only.
What is a Virtual Vendor Marketplace Booth?
In our virtual conference portal, there will be a special placement for all Vendors and Sponsors. The Virtual Vendor Marketplace Booths will be comprised of links, logos, coupon codes, and special promo text that will be accessible only to our virtual participants. Virtual Booths will include placement of a 5-minute video that you create featuring your shop, materials, specials, tool demo, a bit about you… whatever you want to help engage our participants with your business since they can’t come to meet you in person!

THERE IS AN EXCITING NEW FEATURE where Vendors can receive one-on-one Video Calls from Attendees to answer questions! Almost as good as meeting people individually in your booth at the in-person conference!
Virtual Vendor Marketplace Schedule
Friday, February 5, 2021, from 10:50 am – 11:00 am EST (Introduction and overview to attendees)
Saturday, February 6, 2021, from 1:30 pm – 2:00 pm EST
Sunday, February 7, 2021, from 11:30 am – 12:00 pm EST
During these periods, we will be playing the video ad’s submitted on the main virtual presentation window in the Virtual Conference Portal. Friday before all sessions start, we will explain how the Virtual Booths can be accessed by attendees in a general presentation.
In addition to the times above, you can be present to engage with attendees through several avenues in the Virtual Conference Portal, including making yourself available to receive direct questions via video call or through direct messaging available to all attendees through the Portal.
We will be conducting a web conference-style orientation for all Virtual Vendor Marketplace participants on Monday, February 1, 2021, at 3:00 pm EST. Information on accessing the orientation session will be sent to you a week prior and we will record the session and give you access if you cannot attend.
WHAT WE NEED to BUILD YOUR BOOTH

Product or Service Type: Materials, Artist Support Service, Tools, Artist(selling your work), other?
Logo: you may have sent it when registering for your sponsorship/vendor booth, if not, please send it as an attachment in the same email
Team Members: Individual(s) that will engage with attendees through the virtual conference portal. (We need name and separate email address for each so that they can be granted access to your booth in the virtual portal)
Digital Coupons/Flyers: if you haven’t already sent as part of your sponsorship, if you have a .jpg, .pdf of your promotion or coupon for attendees
Business Description: up to 2-3 paragraphs or 1,000 words max, describing your business, services, and the product you offer, your history with Mosaic Art or SAMA, further details on promotions or show specials.
OPTIONAL 5 Minute Video: 5-Minute video recording: (.mp4 .wmv .mov formats please) Videos may include a tour of your showroom, product demonstrations, new collection premieres, special content for virtual participants, and overviews of your products and services. Give participants an exclusive view of your business and be as creative as you want and HAVE FUN! If you have a YouTube or Vimeo channel where your video is already uploaded, all we need is a link. If you don’t, we will upload your video to our channel and link in your Virtual Conference Booth. We are charting new waters here! It doesn’t have to be perfect! If you need example ideas, ask Jacki Gran.

WHAT YOU WILL NEED to ACCESS YOUR BOOTH
A desktop or laptop computer with Google Chrome, Edge, Safari, or Firefox browser:
You will be sent an access link that will tie your Vendor/Sponsor Profile directly to the email you have provided during registration. That email will be your UserID and you will be prompted to create a password for the event. Once you verify that email address, you will be entered into the website based Virtual Conference Portal.
Optional Webcam and microphone or headset – for those that would like to engage in one-on-one Video Calls with Attendees:
You will need a good web camera and microphone or headset. Many laptops have these built-in and will be sufficient. You will just need to make sure when prompted to grant access to the microphone and webcam when getting set after logging in.

2021 SAMA Sponsorship Policies
SAMA is a 501(c)(3) organization. Donations are tax-deductible to the amount allowed by law.
Sponsorships and benefits cover a 12-month period: January 1 to December 31, 2021.
A page on SAMA’s website is dedicated to Sponsors, and a hotlink from this page to Sustaining Contributor websites connects them to 1,200+ active mosaicists around the world who visit SAMA’s website regularly.
The “Named” sponsorships are available on a 1st come – 1st served basis.
Sponsorships become active when payment in full has been received.
Benefits of Sponsorship are only valid for the 2021 American Mosaic Summit. Payments on the 2020 American Mosaic Summit will be applied to 2021 Sponsor and Vendor Commitments.
Sponsorships will be invoiced by SAMA and can be paid online by credit card or by mail with check to SAMA, P.O. Box 624, Ligonier, PA 15658. (“In-kind” donations must be approved by SAMA’s Executive Committee).
Sponsorships payment due date: February 1, 2021!
Sponsorships do not include annual membership dues. Be sure to join/renew your SAMA membership now.
